10 AI Automations That Run Your Week ⚡

The exact setup for ten scheduled automations that run on a clock across Claude and ChatGPT. Every prompt written out in full and ready to deploy.

⚡ TL;DR

  • Every automation in this guide is a saved prompt plus a cadence (hourly, daily, weekly).
  • Operates across Claude Cowork scheduled tasks and ChatGPT scheduled tasks.
  • Replaces manual administrative drag: 7am inbox triage, meeting briefings, task extraction, founder briefings, expense tracking, and content engines.
  • Connectors needed: Gmail, Google Calendar, and Google Drive (create folder structure before launching).
  • Follow the Golden Rule: Test each automation manually first, verify three clean runs, then let the clock run it.

The Two Engines: Claude vs. ChatGPT

Every scheduled task requires two elements: an engine and a cadence. Here is where they live:

  • Claude (Cowork Scheduled Tasks): Click Scheduled in the left sidebar, choose New Task → Setup Manually. Cadences: Hourly, Daily, Weekly, Weekdays. Tasks run remotely on Anthropic servers, even when your laptop is closed. For local files (Downloads/Desktop cleanup), use Claude Code Desktop routines.
  • ChatGPT (Scheduled Tasks): Open Scheduled in the sidebar or ask directly in chat. Limits: 5 active tasks on Plus, 10 on Business, 15 on Pro/Enterprise.

Pre-Requisite: Set Up Drive Folders

Create these folders in your Google Drive before running the automations:

  • /Meetings/Transcripts & /Meetings/Recaps
  • /Content/LongForm, /Content/Repurposed, /Content/Analytics
  • /Finance/Receipts, /Finance/Statements, /Finance/Reports

AUTOMATION 01

7am Inbox Triage & Draft Replies

Trigger: Weekday mornings at 7:00am, before you open your laptop.
What it does: Scans emails received since 5:00pm yesterday, classifies by priority (HIGH, MEDIUM, LOW), and prepares drafted replies for routine messages.
Output: A 3-bullet morning briefing with your draft queue ready to review.

CLAUDE COWORK TASK PROMPT
Search my inbox for every email received since 5pm yesterday.

Sort them into three buckets:
HIGH — needs a reply from me today
MEDIUM — needs a reply this week
LOW — FYI, newsletters, receipts, no reply needed

For anything in HIGH or MEDIUM with an obvious, low risk answer, write the reply as a draft in my account. Short, direct, professional tone, no corporate filler, no "I hope this finds you well".

Do not draft anything that involves pricing negotiation, legal terms, a new commitment, or a refusal. List those under NEEDS YOU instead.

Finish with: counts per bucket, the three things that actually matter today, and which drafts are waiting for me.
AUTOMATION 02

Pre-Meeting Dossier

Trigger: Hourly across working hours (8:00am - 6:00pm).
What it does: Looks 90 minutes ahead on your calendar. If there is an external attendee, it researches their company, recent press, and past email history.
Output: A 1-page briefing with attendee profile, talking points, questions, and desired outcome.

PRE-MEETING DOSSIER PROMPT
Check my calendar for events starting in the next 90 minutes that have at least one attendee outside my own domain.
If there are none, reply "Nothing upcoming" and stop.

For each one, research the external attendee and their company and write me a single page brief:
OVERVIEW — who they are, role, tenure
COMPANY — what it does, size, business model, recent funding/milestones
RECENT NEWS — anything from the last 90 days, with the source
OUR HISTORY — what my past emails with them say we agreed or discussed
TALKING POINTS — five, specific to them, not generic
QUESTIONS — three high-conviction questions worth asking
GOOD OUTCOME — one line on what I want to walk away with

Say when something is unverified rather than guessing.
AUTOMATION 03

Post-Meeting Recap to Task List

Trigger: Weekdays at 6:00pm.
What it does: Scans /Meetings/Transcripts for meeting notes from tools like Fireflies, Otter, or Granola.
Output: Extracted decisions, action owners, dates, and follow-up email drafts saved to /Meetings/Recaps/.

MEETING RECAP PROMPT
Check my Drive folder /Meetings/Transcripts for files added in the last 24 hours. If there are none, stop.

For each transcript, produce:
DECISIONS — what was actually agreed, not just discussed
ACTIONS — one line each, with owner and due date. If a date was not said, propose one and mark it PROPOSED.
OPEN QUESTIONS — anything left unresolved
FOLLOW UP — any email that needs to go out, drafted and ready

Then take only the actions owned by me and format them as a prioritized numbered task list. Leave everyone else's in the meeting recap file.

Save the recap to /Meetings/Recaps as recap-[date]-[title].md.
Do not invent an action that nobody committed to.
AUTOMATION 04

Friday 5pm Downloads & Desktop Cleanup

Trigger: Fridays at 5:00pm (runs as a local task in Claude Code Desktop or ChatGPT Desktop).
What it does: Detects duplicates, renames chaotic files (e.g. Screenshot_1249.png), categorizes into organized folders, and quarantines junk into a review folder.
Safety Note: Never permit AI to permanently delete files. Always quarantine to _Review/ToDelete.

DESKTOP CLEANUP PROMPT
Tidy my Downloads and Desktop folders.

1. List everything, with file size and date added.
2. Find exact duplicates. Keep the newest, move the rest to _Review/Duplicates.
3. Rename anything with a meaningless name (IMG_9321, untitled, data_v2) to something descriptive based on its contents.
4. Sort into: Invoices & Receipts, Contracts, Images, Presentations, Other Documents. Create folders if missing.
5. Move obvious junk (.tmp, empty folders, half-finished downloads) to _Review/ToDelete. Do not delete anything permanently.
6. Print a report: what moved where, what was renamed, what is sitting in _Review waiting on me.

Never touch anything outside Downloads and Desktop.
AUTOMATION 05

Monday 7:30am Founder Brief

Trigger: Mondays at 7:30am.
What it does: Synthesizes meetings, unanswered emails, financial runway numbers from Drive, and major deadlines.
Output: One clean message that replaces the first hour of your Monday.

FOUNDER BRIEF PROMPT
Build my founder brief for the week ahead.

WEEK AHEAD — every meeting Monday to Sunday, day, time, who with. Flag anything I have not prepared for.
NEEDS A REPLY — emails from the last seven days I have not answered. Count them, then list the top eight that matter with one line each explaining why.
CASH & NUMBERS — read the latest figures in my Drive sheet /Finance/Numbers.xlsx and give current cash balance, this month's revenue vs. spend, and runway in weeks.
DUE THIS WEEK — anything with a hard deadline in the next seven days.
CONTENT — what I committed to publishing this week and what is still unmade.

Then, FOCUS: give the three strategic tasks that will make this week a decisive win. Pick high-leverage outcomes. If the numbers or calendar look off, be blunt.
AUTOMATION 06

Monthly Expense Organiser

Trigger: 1st of every month at 9:00am.
What it does: Scans inbox & Drive for receipts, invoices, and bank CSV exports.
Output: An accountants-ready spreadsheet categorized by software, contractors, marketing, and travel, with missing receipts highlighted.

EXPENSE ORGANISER PROMPT
Collect every business expense from last month.

Search my inbox for receipts, invoices, order confirmations and subscription renewals dated last month. Also check my Drive folder /Finance/Receipts and statement CSVs in /Finance/Statements.

For each one extract: date, vendor, description, category, amount, currency, tax/VAT if shown, and where you found it.
Categories: Software, Advertising, Contractors, Equipment, Travel, Subscriptions, Office, Other.

Build a spreadsheet in /Finance/Reports named expenses-[month]-[year].xlsx with one row per expense, plus a summary sheet totalling by category and by vendor.

Finish with total spend, total count, and a MISSING list where an amount or receipt is unclear. Never guess a figure.
AUTOMATION 07

Daily 6pm Build Log to Content Bank

Trigger: Daily at 6:00pm.
What it does: Sends you one ping: "What did you work on today?" You reply in two sentences from your phone. The agent converts it into viral hooks and saves them to /Content/content-bank.md.

BUILD LOG PROMPT
Ask me one question and stop: "What did you work on today?"

When I reply, turn my answer into two or three short-form content hooks for tomorrow.

Rules for the hooks:
- Lead with the specific operational event that happened, not the moral lesson
- Include a metric, mistake, or tangible outcome in the first line
- Written in natural, punchy speech—no generic corporate buzzwords
- Each hook: opening line plus three bullet points for the body

Then append them to /Content/content-bank.md under today's date with a one-word format tag (talking head, screen recording, carousel). If my answer was too brief, ask one follow-up question before writing.
AUTOMATION 08

Weekly Content Repurposing Engine

Trigger: Mondays at 8:00am.
What it does: Reads the newest script or video transcript in /Content/LongForm alongside your voice profile /Content/voice.md.
Output: 5 short video scripts, 1 Instagram carousel (7 slides), 1 LinkedIn post, and 1 newsletter takeaway.

CONTENT REPURPOSING PROMPT
Read the newest transcript in /Content/LongForm and my voice guidelines in /Content/voice.md.

Extract the core ideas worth their own piece of content, then generate all of the following in my exact voice:
- 5 x short-form video scripts (30 to 45 seconds each: Hook, Body, Last Line). One distinct angle each.
- 1 x Instagram carousel (7 slides, under 15 words per slide, clean design specifications).
- 1 x LinkedIn post (150 to 200 words, high contrast formatting, no hashtags).
- 1 x YouTube Short script (tight, fast-paced).
- 1 x newsletter snippet (120 words, ending on one high-value actionable takeaway).

No filler, no AI cliches like "in this video" or "let's dive in". If an idea is too thin, discard it rather than padding it out. Save everything to /Content/Repurposed/week-[date].md.
AUTOMATION 09

Brand Deal & Inbound Sponsorship Scanner

Trigger: Twice daily (12:00pm and 5:00pm).
What it does: Audits commercial inbound against your rate card in /Business/brand-playbook.md.
Output: Classifies deals as WORTH REPLYING, NEGOTIATE, or PASS, and writes drafted counter-offers.

BRAND INBOUND SCANNER PROMPT
Read my terms at /Business/brand-playbook.md first. It contains my rate floor, usage license terms, exclusivity limits, and red lines.

Search my inbox since the last run for any partnership, sponsorship, or consulting inquiry.

Score each against the playbook:
- Proposed budget vs. my rate floor
- Scope of deliverables and turnaround window
- Exclusivity or perpetual IP usage clauses
- Any prohibited competitor conflicts

Classify each as WORTH REPLYING, NEGOTIATE, or PASS with one sentence of reasoning. Draft a response for the viable opportunities: warm, professional, asking for the budget if unstated. Never finalize an agreement on my behalf.
AUTOMATION 10

Weekly Content Performance Digest

Trigger: Sunday evenings at 6:00pm.
What it does: Ingests analytics CSVs from /Content/Analytics across LinkedIn, YouTube, and Instagram.
Output: Evaluates what resonated (weighted by retention, saves, and conversions over raw views) and generates 3 data-backed content concepts for the upcoming week.

PERFORMANCE DIGEST PROMPT
Read every analytics export in /Content/Analytics, including the previous four weeks to detect longitudinal patterns.

Write my weekly executive digest:
WHAT WORKED — the three highest-performing posts. For each: the raw metrics, and why it converted. Weight watch time and saves over vanity views.
WHAT FLOPPED — the two weakest posts with honest root causes (weak hook, pacing drop, off-brand topic).
CROSS-WEEK PATTERNS — trends true across four weeks (optimal length, hook structure, topic resonance).
MAKE MORE OF — three concrete execution directives.
NEXT WEEK'S SLATE — three content angles designed around proven winners, including opening hooks.

Keep it blunt and actionable.
